Why some drone jobs need more lead time

For a buyer, one of the most frustrating answers is: “we need to check the location first.” In practice, that answer is often the difference between a next-day drone visit and a job that needs extra planning.

In Ireland, many low-risk commercial drone flights can be carried out under the EASA open category, as long as the operation stays inside that category’s limits. Riskier work can move into the specific category, where an operational authorisation from the national authority may be needed before the operation starts. The site location usually decides the first answer

The first planning check is not usually the aircraft model. It is the site. The Irish Aviation Authority publishes Ireland’s UAS Geographical Zones, and that is one of the main places an operator should check before confirming a flight. For a client, the practical takeaway is simple: sending only a town name is rarely enough. A precise pin, Eircode, site boundary, likely take-off area and a note about nearby roads, buildings or sensitive infrastructure can save time immediately. Those details help an operator work out whether the job looks straightforward, needs more planning, or may not be suitable on the first proposed date.

Some briefs fall outside the basic route

EASA describes the specific category as the route for operations that sit outside the open-category limits. Its examples include beyond visual line of sight flights, operations above 120 metres, dropping material, and some urban operations depending on the aircraft and scenario. That does not mean every city-centre or industrial job is impossible. It does mean the operator may need time to assess the exact method of operation rather than just the customer’s preferred date. A useful buyer question is not only “can you fly here?” but also “does this brief assume a more complex operating method than a normal open-category site visit?”

Registration and competency still matter on simple jobs

Even where a job looks routine, the operator details still matter. The IAA says drone operators using a drone over 250 grams, or a drone with a camera or sensor, are generally required to register as operators. For more complex work, the IAA’s own buyer-facing guidance is direct: if you plan to retain a UAS operator for a complex operation or in an area that may be restricted or prohibited, you should seek an operator with the appropriate authorisation and confirm their registration, authorisations, remote pilot certificates and insurance. citeturn2search4

That is a useful filter for buyers. Asking for those basics early is not “extra admin”. It reduces the chance of approving a supplier, booking access, and only then discovering that the site or method needs a different level of preparation.

What to send before you ask for a date

If you want a faster yes-or-no answer, send the facts that affect planning first:

  • exact site location or pin
  • site boundary or asset area to be captured
  • the output you actually need, such as stills, video, inspection images or mapping
  • whether access to the take-off area is controlled by you
  • whether uninvolved people, traffic or live operations will be nearby
  • any known nearby airport, port, prison, military, utility or other sensitive site
  • your preferred date, plus one fallback date if timing matters

None of that guarantees a flight. It does give the operator enough context to check the live IAA material, match the mission to the likely operating category, and tell you whether the job looks simple, conditional or more complex.

Do not assume “commercial” automatically means “special permission”

One common misunderstanding is that paid drone work always needs a separate special approval. The current European framework is more specific than that. EASA describes the open category as the main reference point for the majority of leisure drone activities and low-risk commercial activities. That matters for buyers because it improves scoping. A short marketing shoot over a controlled private site may be much simpler to arrange than people expect. A technically modest-looking inspection near constrained airspace may need more planning than the client expects. The smartest brief is the one that describes the location, constraints and outcome clearly enough for the operator to judge the real path.

A better way to speed up booking

If you want quicker quotes and fewer surprises, send the location and constraints before you ask for confirmation. A good operator can then tell you whether the job is likely to fit a normal open-category workflow or whether it may need deeper assessment and more lead time.
